Maintain an organised and efficient filing system including monthly offsite archiving to ensure document accessibility and compliance.
Verify invoice accuracy and process cheque payments to support timely financial transactions.
Coordinate maintenance and repairs for office equipment and facilities.
Manage access control by overseeing office keys for meeting rooms, ensuring security and availability.
Monitor inventory levels of office refreshments, stationery, business cards and printing materials and coordinate timely procurement.
Maintain and update the telephone list on the shared drive, ensuring availability and accessibility in all meeting rooms for staff use
Liaise with vendors to activate or terminate phone lines.
Arrange delivery of gifts and wreaths to support corporate and employee relations initiatives.
Supervise and coordinate the duties of Dispatchers and Drivers, ensuring continuous coverage and operational efficiency, including providing relief support during their absence.
Collaborate with the Recreation Club and HR Department to support office events and festivals.
Carry out duties assigned by management.
Requirements:
Diploma in Human Resources, Business Studies or related discipline.
Prepare to take up Certificate In General Insurance (CGI) exam if required.
Proficient in Microsoft Office applications.
Strong communication skills to build effective relationships across all organisational levels.
Demonstrate ethical conduct, reliability and interpersonal skills to foster a collaborative work environment.
