What the role involves:
Reception
1. General Reception: Greeting visitors, answering phones, handling inquiries.
Postal
2. Franking Postages: Manage franking of mail and maintain postal franking dockets.
Airport Pass Coordination
3. Airport Letters: Prepare letters needed for airport applications.
4. Airport Pass Application: Apply for airport passes as required.
Permits and Applications
5. PSA Applications:
o Prepare online applications for PSA temp and permanent permits.
Maintenance and Compliance
6. Contracts Update: Update maintenance contracts and ensure filing and certification are current.
7. License Management: Maintain records for licenses and certifications (filing & intranet).
Internal Communication
8. Phone & Seating List: Update the contact and seating arrangement list.
Supplies Management
9. Ordering Supplies: Order name cards, stationery, groceries, self-inking stamps, and water dispensers.
Vehicle Management
10. VPC Renewal: Handle renewal of Vehicle Permits (VPC) and manage billing to contractors.
11. Petrol Cards: Apply for and cancel petrol cards as needed.
Purchasing and Payments
12. Purchase Requisitions: Raise Purchase Requests (PR) for any needed purchases.
13. Forklift Permit Renewal: Manage the renewal of forklift driving permits.
14. Parking Management: Update, apply for, or terminate season parking at the Central Area Committee (CAC).
15. Purchase Orders: Generate Purchase Orders (PO) and send them to suppliers.
16. Payment Preparation: Prepare payments for golf clubs and other recreational facilities (Tenah Merah Country Club, Sentosa Golf Club, Southlinks).
