1. Operations Coordination
- Coordinate daily vessel orders with purchasing and sales teams.
- Liaise with port agents, suppliers, and logistics providers for ship's eta and etd
- Update ship schedule
- Liaise with third party logistics company for job assign
- Prepare delivery plans to meet urgent and last-minute vessel requirements.
- Checking third party invoice tally with order confirmation.
- Filing supplier invoice/DHL invoice/air cargo/sea freight invoice
- Good receiving base on supplier delivery note or invoice in system
- Maintain accurate inventory records (inbound & outbound).
- Update spare part care off items to sales team by email & wechat
- Conduct stock checks and assist in stock audits.
- Monitor stock levels and inform purchaser for replenishment.
- Ensure proper labeling and documentation of goods.
3. Documentation & Reporting
- Record daily warehouse transactions in the system.
- Prepare operational and inventory reports.
- File delivery confirmations signed by vessel crew.
- Maintain proper records for inspection and compliance.
4. Inventory & Stock Control
- Monito fast-moving and critical items.
- Preven overstocking and stock shortages.
- Check expiry dates for provisions and consumables.
- Ensure proper storage conditions (temperature control if required).
5. Coordination with Warehouse Team
- Support loading and unloading activities documentation.
- Assis in resolving discrepancies or damages.
Requirements
- Diploma or equivalent in Logistics, Supply Chain, or Business Administration.
- Experience in ship chandling, marine supply, or warehouse operations preferred.
- Knowledge of vessel delivery procedures and port operations.
- Proficient in MS Office (especially Excel).
- Good organizational and coordination skills.
