Job Description

Role Summary

We are looking for a versatile and proactive professional to be the backbone of our Singapore office. You will manage vendor relationships, corporate hospitality, and office culture details, anticipating needs and solving problems independently to ensure a seamless work environment.

Responsibilities

  • Act as the primary liaison with building management and external service providers to maintain office facilities efficiently
  • Source, evaluate, and negotiate vendor contracts to optimize costs and service quality
  • Oversee procurement and inventory management of office stationery, pantry items, and general supplies
  • Coordinate business travel arrangements including flights, hotels, and local transport for executives and visiting colleagues
  • Facilitate corporate hosting by managing dining reservations, event space bookings, and guest itineraries
  • Plan and execute internal events such as team-building activities, festive celebrations (e.g., Chinese New Year, Christmas), and the annual company dinner
  • Develop initiatives to enhance workplace culture and boost employee morale aligned with company values
  • Manage government correspondence and ensure timely renewal of office licenses and insurances for regulatory compliance
  • Handle petty cash, verify administrative invoices, and support Finance with monthly expense reporting
  • Serve as the primary contact for all office-related requests and emergency facility issues, providing prompt problem resolution

Required competencies and certifications

  • Minimum 3-5 years of experience in office management or corporate administration within Singapore
  • Proficient in English and Mandarin to effectively liaise with local vendors and Mandarin-speaking stakeholders
  • Knowledgeable of Singapore's Workplace Safety and Health (WSH) guidelines and local business practices
  • Strong communication and negotiation skills with attention to detail
  • Demonstrates a proactive, can-do attitude with the ability to multitask and prioritize in a fast-paced environment
