Job Summary
You will support HR and administrative functions at Metta Home & Day Activity Centre, managing staff records, onboarding, insurance claims, and assisting with centre activities to ensure smooth operations and compliance.
Responsibilities
- Maintain accurate staff leave records, including overseas-in-lieu (OIL) and medical certificates (MCs), to support HR administrative processes for the Home and Day Activity Centre
- Assist staff with the HRIQ system and respond to medical-related enquiries to facilitate smooth staff management
- Manage onboarding and offboarding processes by coordinating new hire checklists, issuing access cards, and completing staff clearance procedures
- Maintain and organize staff personal files and coordinate medical check-ups and insurance claims for foreign staff to ensure compliance and timely processing
- Support insurance claims processing and perform basic accounting tasks such as managing petty cash and fee collection to maintain financial accuracy
- Procure and distribute staff items including uniforms and shoes, and organize staff welfare activities to promote employee well-being
- Relay important information to operational staff without corporate email access, including nursing, drivers, and kitchen staff, to ensure effective communication
- Provide basic translation support to facilitate communication between staff and clients when required
- Assist in planning and executing centre activities, corporate social responsibility initiatives, fundraising events, and donation handling to support community engagement
- Maintain proper documentation and ensure compliance with ISO, Ministry of Social and Family Development (MSF), and National Council of Social Service (NCSS) requirements
- Provide reception coverage and perform other ad-hoc administrative duties to support daily centre operations
Preferred competencies and qualifications
- Minimum 1-2 years of relevant administrative experience
- Basic accounting knowledge
- Minimum N/O Levels or equivalent
- Proficient in Microsoft Office applications
- Ability to work independently and collaboratively within a team
- Strong communication and interpersonal skills to engage effectively with diverse stakeholders
- Meticulous, responsible, and eager to learn
