Admin Officer (Vehicle Maintenance)
1. In-house Workshop
a. Source for quotations on parts and tools required.
b. Ensure inventory is kept up to date and accurate.
c. Ensure parts drawn by workshop technicians are properly recorded and verified.
d. Provide administrative support and liaise with internal stakeholders.
e. Maintain and update the in-house fleet management system records.
f. To raise requests forms for equipment repair works.
g. Receive goods and accurately record part numbers and descriptions.
2. Road Tax / COE Renewal
a. Remind BU on the LTA inspection due date.
b. Renew road tax.
c. COE renewal bidding with approval from management.
3. VPC Quota
a. Monitor VPC quota and expiry date.
b. Purchase or renew VPC with approval from management.
c. Apply for new HV or renew existing HV.
d. Coordinate and liaise with various parties, including LTA, for the renewal of VPC and its relevant preparation.
4. Accident Claims
a. Provide insurance certificate and log card for incident reports at the Authorized Workshop.
b. Liaise with the authorized workshop on the submission status of the incident report.
c. Keep records of incident reports for insurance claims.
5. Updating of Vehicle & Equipment List
a. Liaise with BU to ensure that vehicle and equipment details are up to date.
b. Assist in requesting quotations and work with BU to prepare proposals for purchase or disposal (if required).
6. Rental Lease for Vehicle & Equipment
a. Monitor rental lease expiry and check with BU on the need for renewal three months before the expiry.
b. Assist in requesting quotations and work with BU to prepare proposals for renewal (if required).
c. Assist in requesting quotations for new rental leases of vehicles or equipment as required by BU.
7. Submission of Monthly Summary Report
a. Vehicles or equipment disposed of for the month.
b. Vehicles or equipment purchased for the month.
c. Vehicle and equipment utilization rate.
d. Proposal for vehicles or equipment that are underutilized.
e. Liaise with BU for data retrieval for analysis purposes.
8. Vendor Evaluation
a. Assist in following up with BU and the purchasing department to collate and compile documents related to vendor evaluation.
Role Requirement
1. Diploma or Nitec / WSQ-recognized certificate
2.Competent in MS Words / Excel
3.2 years relevant experience in vehicle maintenance admin related field
