Job Summary

You will execute comprehensive HR and administrative functions to support business operations and compliance in Singapore. This role drives payroll accuracy, regulatory adherence, office management efficiency, and strategic support to leadership, contributing to organizational growth and operational excellence.

Responsibilities

  • Execute monthly payroll calculations and cost allocations for all employees within the Singapore entity to ensure accurate compensation processing
  • Manage monthly CPF online submissions and payments, and assist with claims in accordance with MOM policies to maintain statutory compliance
  • Oversee personal income tax processes including monthly declarations and yearly finalizations to ensure timely and accurate tax reporting
  • Administer mandatory healthcare insurance payments and reporting, liaising with suppliers to resolve complex claim cases effectively
  • Ensure compliance with internal and external audits related to labor, payroll, and personal income tax to uphold regulatory standards
  • Collaborate with Finance and Accounting teams, including Accounting Managers and CFO, to support accurate financial reporting and compliance as needed
  • Provide high-level administrative, strategic, and operational support to the country's managing director to facilitate leadership effectiveness
  • Oversee daily administrative operations of the DRSG office, ensuring efficient office management and smooth workflow
  • Coordinate and organize office activities, manage office layouts, and maintain office supplies to support a productive work environment
  • Greet and manage high-profile visitors, coordinate inbound and outbound mail, and handle office logistics and transport arrangements to ensure professional representation
  • Track and follow up on employee compliance with company requirements and initiatives to promote organizational standards
  • Supervise office maintenance and cleanliness to meet company standards and create a welcoming environment
  • Manage office-related budgets to ensure cost-effectiveness and financial discipline in office operations
  • Maintain and enhance HR processes and policy documentation to support continuous improvement and compliance
  • Analyze HR trends and metrics in partnership with the HR team to develop innovative solutions, programs, and policies that drive organizational effectiveness
  • Administer and optimize human resource information systems and related reporting to improve HR operational efficiency
  • Maintain current knowledge of benefit programs and regulatory requirements to ensure compliance and competitive offerings
  • Coordinate complex immigration and visa processing tasks as needed to support workforce mobility
  • Assist with procurement for special projects and the Singapore office, ensuring alignment with Singapore tax and compliance laws such as GST and Withholding Tax
  • Liaise with Accounts to ensure timely purchase order updates and resolve discrepancies to maintain procurement accuracy
  • Prepare and submit non-financial tender/RFP documents for new client onboarding as needed, ensuring compliance with regulatory requirements
  • Coordinate vendor onboarding including document verification, compliance checks, and ACRA registration to ensure vendor legitimacy
  • Validate bank account details for new vendors to ensure accuracy and prevent payment errors

Required competencies and certifications

  • Advanced proficiency in MS Excel with strong analytical capabilities to support data-driven decision-making
  • Deep understanding of the Employment Act and MOM processes to ensure legal compliance in HR operations
  • Exceptional customer service and interpersonal skills demonstrated through effective teamwork and stakeholder engagement
  • Strong logical thinking and time management skills applied to prioritize tasks and meet deadlines efficiently
  • Excellent communication skills to convey information clearly and professionally across all levels of the organization
  • Ability to maintain strict confidentiality of sensitive information related to company operations, employees, and clients
  • Uphold a high degree of professionalism, discretion, and accountability when supporting management

Preferred competencies and qualifications

  • Diploma or a Bachelor's degree in Human Resources, Business Administration, or a related field
