Job Summary

You will support HR and administrative functions by managing employee records, coordinating recruitment and training, handling company certifications, and ensuring compliance with regulatory requirements.

Responsibilities

  • Answer phone calls, handle mails, and arrange courier services to maintain smooth office communication
  • Manage office supplies and maintain office equipment and facilities to support daily operations
  • Maintain and update company certifications such as BCA, SLOTS, SCDF, ISO, and BizSafe to ensure regulatory compliance
  • Assist in recruitment by placing job advertisements, shortlisting candidates, scheduling interviews, and preparing employment contracts and appointment letters
  • Administer and update employee databases accurately and promptly to support HR processes
  • Track employee appraisals, contract renewals, and work pass renewals to maintain up-to-date records
  • Process employment applications for Work Permits, S Pass, Employment Pass, Dependent Pass, and manage repatriation and air ticket arrangements for NTS workers
  • Coordinate onboarding and offboarding activities to ensure smooth employee transitions
  • Arrange employee training courses and coordinate development programs to secure necessary certifications and licenses for company audits and regulatory compliance
  • Manage workers dormitory arrangements, update residential addresses via MOM OFWAS, handle Coretrade, Levy Waivers, and medical checkups to comply with regulations
  • Verify and process medical claims related to Work Injury Compensation and Foreign Workers Medical Insurance to ensure accurate claims handling
  • Maintain an efficient filing system for internal, external, and confidential documents to support information management
  • Generate monthly reports and manage relevant documentation to provide timely updates to management
  • Monitor changes in statutory HR regulations and implement necessary compliance measures
  • Perform other ad-hoc duties as assigned by management to support business needs

Required competencies and certifications

  • Minimum Secondary/ITE/Diploma education level
  • Minimum 3 years of relevant working experience
  • Proficiency in Microsoft Office applications

Preferred competencies and qualifications

  • Experience in Construction or Process sectors is advantageous
  • Strong attention to detail and meticulous work approach
