Key Responsibilities:
Assist in planning and executing business receptions, including guest arrangements, logistics, and on-site coordination.
Coordinate and manage external hospitality and ensure the entire hospitality process is smooth, professional, and courteous.
Support the organization and coordination of company team-building events and annual dinner.
Liaise with vendors, venues, and internal teams to ensure smooth event operations.
Prepare event-related documents such as guest lists, event rundown, briefing notes, etc.
Manage event logistics including venue booking, set-up, catering, AV, and on-site coordination.
Maintain event-related inventories and administrative records.
Prepare budget forecast, manage event spendings and follow through invoicing and payments.
Handle event-related issues promptly and professionally.
Assist in arranging flights, accommodation and airport transfer for attendees when required.
Other admin related works assigned by the superior.
Job Requirements:
Diploma or above in Business Administration, Hospitality, Event, Marketing or related field.
Minimum 3 years of experience in event and administrative work and management.
Strong communication, organizational, and problem-solving skills.
Desire to work in a fast-faced, highly dynamic, growing organization.
Creative, energetic self-starter and can work independently.
Fluent in Mandarin and English so that can liaise with Chinese parties (as the case maybe).
