Job Description

St Joseph's Home, a Person-centred residential healthcare facility located in Jurong West, is redefining the way we take care of our elderly, and would like to invite suitable candidates to apply for the position of:

Admin Executive, Operations

Key Responsibilities:

. Asset Management

- Maintain asset inventory and conduct stock takes

- Tagging of assets for audit purposes

- Monitor asset movement and utilisation

- Manage the purchase, servicing and disposal of assets, and ensure proper documentation

- Coordinate with vendors and contractors on servicing, repairs and replacement of assets

- Plan for asset renewal/budgeting based on lifespan

- Liaise with vendors and internal departments on asset-related matters

Vendor Contract Management

- Manage contractor contracts, including monitoring expiry and renewals

- Review the need to retain or change contractors

- Propose new contractors/vendors for approval, with reasons, cost comparison, and performance review

Estate Management & Operational Support

- Oversee estate upgrading, maintenance and repairs

- Ensure safety and regulatory compliance

- Handle space planning and allocation

- Conduct routine inspections

- Coordinate with contractors to address any issues

- Manage security and access control

- Plan maintenance schedules

- Respond to estate issues and emergencies

Scheduling and Roster Management

- Consolidate monthly rosters from all teams within Operations Services

- Track leave and overlaps

- Track and submit overtime records for HO, HGO, FM, Laundry and kitchen teams

- Update rosters and leave records (by 25th monthly)

Fire Safety Management & Incident Reporting

- Liaise with fire safety inspectors and submit assessment reports to the Reporting Officer

- Coordinate with relevant departments to ensure any non-compliance issues are addressed and resolved

- Promptly submit incident reports

Donor Management

- Liaise with donor to ensure timely monthly replenishment of rice for kitchen

- Liaise with donors for perishable and non-perishable items for the Home

ADHOC AND COVERAGE

Goods Handling Support

- Assist with goods receiving in the absence of the front desk officer

Medical Store Support

- Assist in receiving and distributing medical and housekeeping supplies in the absence of the Admin Assistant (Medical Store)

Access Control & Key Management

- Issue access cards and manage key press system

Conference Room and Venue Requests

- Handle conference room and venue arrangements

SOP Review and Other Administrative Duties

- Assist in SOP review and perform other assigned duties by the Reporting Officer/Operations Lead

- Handle filing, scanning, laminating, and binding of documents, etc

- Ensure proper organisation and upkeep of records and materials

Training & Development

- Attend training to maintain and enhance competencies

PRINCIPAL ACCOUNTABILITIES

- Ensure a safe and conducive environment

- Ensure proper inventory and asset management

- Perform all duties responsibly and independently

QUALIFICATIONS, KNOWLEDGE & EXPERIENCE

Educational Qualifications

Diploma/Degree in:

. Business Administration

. Operations Management

. Healthcare Administration (for nursing home / healthcare setting) Or any relevant qualifications

Experience Requirements

. 1-3 years of experience in:

o Administrative or operations support roles

o Coordination of workflows, scheduling, or logistics

. Experience in healthcare / nursing home / service operations is a plus

. Exposure to procurement, vendor coordination, or reporting is advantageous

. Good communication (written & verbal)

. Problem-solving and ability to handle multiple tasks

. Ability to work independently and as part of a team
