Job Description

We are looking for a responsible and organized Admin to join our team, focusing on water dispenser services. This role involves managing installation schedules, communicating with customers, and ensuring excellent aftersales service.

1. Data Entry: Accurately input and manage data in Google Sheets. This involves updating information, maintaining records, and ensuring data integrity.

2. Appointment Scheduling: Handle the scheduling and updating of appointment calendars. This includes coordinating with team members, managing schedule changes, and ensuring effective communication of any updates. Coordinate and arrange water dispenser installation dates with customers. Maintain and update installation and service schedules in the system.

3. General Administrative Support: Assist in various administrative tasks to support the team, which may include document preparation, file management, and responding to emails.

4. Customer Communication:

  • Contact customers regarding warranty extensions and renewals.
  • Communicate with customers via phone, email, or WhatsApp regarding service updates and reminders.
  • Address customer service inquiries promptly and professionally.
  • Coordinate filter change schedules with customers and technicians.
  • Serve as the primary point of contact between the company and customers for service-related queries.
  • Build and maintain strong customer relationships to enhance satisfaction and loyalty.
  • Follow up on aftersales services, including filter replacements and maintenance.
  • Handle and record customer complaints, and liaise with technicians for timely resolution.
  • Prepare daily and weekly reports on installations, services, and customer feedback.

5. Others: Provide administrative support to the sales and technical teams as needed.

Job Requirements

  • Proficiency in Microsoft Office (Excel, Word) and basic scheduling tools (Google Drive).
  • Proven experience in administrative or customer service roles (1 year preferred).
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask and work independently with minimal supervision.
  • Positive attitude, strong organizational skills, and a customer-focused mindset.
