Job Description

We are looking for a proactive and organized Admin Executive to support our HR administration and the Pass-It-On (PIO) program. This role is part of the Corporate Services team and plays a role in ensuring smooth people operations while contributing to a meaningful community initiative.

KEY RESPONSIBILITIES

A. Human Resource Administration

  • Maintain and update HR records, including personnel files, leave records, and employee databases (physical and digital).
  • Provide frontline support to staff on HR system usage and HR-related queries.
  • Assist with payroll administration and ensuring documentation is complete and accurate.
  • Support recruitment processes, including interview scheduling and document management.
  • Assist in administering employee satisfaction surveys and compiling responses.
  • Coordinate staff engagement activities, training sessions, and employee surveys.
  • Provide administrative and logistical support for internal meetings and external events.

B. Pass-It-On Program Administration

Pass-It-On (PIO) is a project initiated by Central Singapore CDC and managed by The Helping Hand. The program gives unwanted but usable items a second life by connecting members of the public with social workers from Social Service Agencies through a web-based platform, to support individuals and families in need. Responsibilities include:

  • Support the day-to-day operations of the PIO platform to ensure smooth functionality and a positive user experience.
  • Respond to and manage enquiries from donors and social workers.
  • Support initiatives to increase platform usage and improve matching rates.
  • Track project KPIs and prepare reports required by CDC.
  • Coordinate with internal teams and external stakeholders to support program objectives and continuous improvement.

REQUIREMENTS

  • Diploma in Business Administration, Human Resources, or a related field.
  • At least 2 years of relevant administrative experience.
  • Good written and verbal communication skills.
  • Proactive, organized, and able to work independently while collaborating well with others.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • High level of discretion and professionalism in handling confidential information.
  • Experience in the social service sector and/or use of HR systems will be an advantage.
