Job Description

Responsibilities

  • Maintain and update New Estates events calendars, trackers, and shared schedules
  • Coordinate facilities and space booking requests, ensuring timely submission and confirmation. Liaising with internal teams and external vendors to support the operational and administrative needs of events
  • Support the procurement of services via GeBIZ in accordance with internal guidelines and SOPs
  • Coordinate with internal stakeholders to ensure the completeness and timeliness of procurement documentation
  • Prepare and administer selected contracts, licences, and permits, including the preparation of waiver papers and issuance of Temporary Occupation Licences (TOLs)
  • Assist with procurement processes and raising of valuations via in-house systems
  • Provide general administrative support, document management and manage internal team meetings, preparation of draft meeting minutes.

Requirements

  • Diploma or Degree in Business Administration or Facilities Management or Real Estate, Procurement, Event Management, or a related discipline.
  • Relevant experience in procurement,facilities coordination, contract administration, or event support or licence administration
  • Experience with Government procurement and finance systems (e.g., GeBIZ or equivalent platforms).
  • Experience coordinating with multiple internal stakeholders and external vendors.
