Job Description

The Admin Executive provides administrative and coordination support to the Restorative Engagement team.

Hours:

SGD13 to SGD14 per hour for 8 hours per day (3 days per week), to be able to commit at least 3 months. (WFH to be discussed).

Key Responsibilities

Training & Programme Administration

  • Record and maintain attendance for CWPS sessions, CEF training, and RE-run workshops
  • Update and manage training trackers (attendance, completion, hours)
  • Prepare session logistics - room bookings, Zoom links, materials, reminders

Documentation & Note-Taking

  • Take minutes at RE team meetings and supervision sessions (including Individual Care Supervision)
  • Format and file notes in shared folders in a timely manner
  • Maintain the RE documentation library - filing, naming conventions, version control

CEF Administration

  • Track Fellows applications and update relevant spreadsheets
  • Support stipend administration - liaise with the Admin team on paperwork and submission deadlines
  • Maintain Fellows contact lists and communication logs
  • Assist with scheduling Fellows sessions and sending communications via WhatsApp and email

CRM & Data Entry

  • Key in session records, volunteer engagements, and attendance data into the CRM system
  • Liaise with the CRM team to resolve data queries or discrepancies

Scheduling & Coordination

  • Manage the RE team calendar - training dates, supervision slots, external meetings
  • Coordinate scheduling with external parties and vendors
  • Track and follow up on pending action items from meetings

General Administration

  • Prepare and format documents, agendas, and templates as directed
  • Manage printing, stationery, and materials for RE activities

What We're Looking For

  • Organised, reliable, and able to manage multiple tasks with minimal supervision
  • Comfortable working with people from diverse backgrounds
  • Able to handle sensitive information with discretion and confidentiality
  • Proficient in Microsoft Office and comfortable learning internal systems (CRM, shared drives)
  • Prior admin experience preferred experience in social services a bonus
