Job Description

Job Summary

We are seeking a detail-oriented and organised Office & Accounts Admin Clerk to join our team. This dual-function role is vital for maintaining the smooth daily operations of our office while providing essential support to our finance department. The ideal candidate is a proactive multitasker who enjoys a mix of administrative coordination and financial record-keeping.

Responsibilities

  • Enter accounting data accurately into the accounting system to support daily financial operations
  • Process accounts payable (AP) transactions to ensure timely payments to vendors
  • Process accounts receivable (AR) transactions to maintain accurate customer billing records
  • Prepare and issue invoices, receipts, and credit notes to support billing and payment processes
  • Follow up on outstanding payments to improve cash flow and reconcile bank statements for financial accuracy
  • Assist in preparing monthly financial reports to provide insights on company financial status
  • Manage general office upkeep by ordering stationery and pantry supplies to maintain a functional work environment
  • Provide logistical support for company events and trade shows to ensure smooth event execution
  • Coordinate with vendors and service providers to maintain effective office operations

Preferred competencies and qualifications

  • Prior experience in basic bookkeeping or administrative roles to support accounting and office tasks
  • Proficiency in MS Office, especially Excel, to perform data management and reporting tasks
  • Familiarity with accounting software such as Xero, QuickBooks, or XOHO to facilitate financial record-keeping
  • Strong communication skills to coordinate effectively with team members, vendors, and service providers
  • Ability to meet deadlines consistently to support timely financial and administrative processes
  • Willingness to support occasional company events or trade shows to contribute to team activities

Employment Terms & Benefits:

  • Working Hours: Mon - Fri, 8:30 AM - 6:00 PM (5-day week)
  • Monthly Salary: $2,100 (Basic)
  • Probation: 3 Months
  • Flexi-Benefits: $800 per annum (Health, wellness, or personal development)
  • Annual Leave: 14 Days (Increases by 1 day/year, capped at 20 days)
  • Medical Leave: 14 Days per annum
  • Event Perks: 3 days Off-In-Lieu provided after each company Show
