We are seeking a highly organized and proactive Admin cum Personal Assistant to provide comprehensive administrative and executive support. This role involves managing schedules, coordinating meetings, supporting client engagements, and handling travel and office administration tasks to ensure smooth day-to-day operations.
Responsibilities:
1. Executive & Calendar Management
- Manage and coordinate the principal's daily and long-term schedule.
- Prioritise appointments and tasks based on urgency and importance.
- Provide timely reminders and ensure efficient time management with appropriate buffer periods.
2. Meeting & Coordination Support
- Arrange and coordinate internal and external meetings, including venue bookings, scheduling, and invitations.
- Prepare meeting materials and ensure readiness prior to meetings.
- Attend key meetings where required, take accurate minutes, and prepare structured summaries.
- Track action items and follow up with relevant stakeholders to ensure timely completion.
- Consolidate updates and provide regular status reports to management.
3. Client & Office Coordination
- Coordinate client visits, including itinerary planning, meeting arrangements, dining reservations, and preparation of materials or gifts.
- Provide professional support during client engagements.
- Assist in maintaining positive relationships with clients and handle ad-hoc administrative requests.
4. Travel & Expense Management
- Arrange end-to-end travel logistics, including flights, accommodation, and transportation.
- Prepare detailed travel itineraries and ensure smooth execution of travel plans.
- Handle last-minute changes or emergencies efficiently.
- Support expense tracking, documentation, and reimbursement processes.
5. General Administrative Support
- Provide day-to-day administrative support to ensure smooth office operations.
- Assist with documentation, filing, and coordination across departments.
- Support ad-hoc tasks as assigned by management.
Requirements:
- Diploma in Business Administration or related field.
- 1-3 years of experience in administrative, executive assistant, or similar roles.
- Strong organisational and multitasking abilities with attention to detail.
- Ability to handle confidential information with discretion.
- Proactive, resourceful, and able to work independently in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
