Responsibilities
- Provide daily administrative support to designers and project teams to ensure smooth project execution
- Manage documentation, filing, and data entry for project records, contracts, and invoices to maintain accurate and accessible information
- Support preparation of quotations, purchase orders, and coordinate with suppliers to facilitate procurement processes
- Track and update payment schedules, project expenses, and petty cash claims to ensure financial accuracy
- Professionally respond to calls, emails, and enquiries to maintain effective communication
- Support HR processes by collecting timesheets and maintaining leave records for accurate workforce management
- Prepare and update project timelines and procurement schedules to coordinate activities between design teams, carpentry workshops, and suppliers
- Arrange logistics for driver deliveries and installation schedules to ensure timely project completion
- Prepare invoices, quotations, and payment vouchers to support financial transactions
- Reconcile petty cash and track project expenses to maintain budget control
- Liaise with external accountants or auditors as needed to support financial audits
- Assist with bookkeeping and basic accounts payable/receivable tasks to maintain financial records
- Source and procure materials, furniture fittings, and office supplies to support project and office needs
- Negotiate with vendors to secure favorable pricing and delivery terms for cost efficiency
- Maintain accurate inventory records and ensure timely replenishment to avoid shortages
- Perform other ad-hoc administrative tasks as assigned to support team operations
Preferred competencies and qualifications
- Experience in the interior design industry is an added advantage
