We are looking for a proactive and reliable Admin Coordinator to support day-to-day operations across multiple departments. This role functions as a central point of coordination to ensure smooth office and site operations.
Responsibilities include, but are not limited to:
Serve as the first point of contact at the office (e.g. attending to visitors, opening the door, handling walk-ins)
Direct enquiries to the appropriate department and follow up where necessary
Coordinate administrative matters across departments (HR, Sales, Operations, Marketing, etc.)
Ensure required paperwork and forms are prepared, completed, and properly maintained
e.g. interview application forms, delivery sign-offs, document collection
Manage the collection and handover of documents such as work permit cards and official papers
Coordinate deliveries, drivers, and collections to avoid scheduling clashes and optimise routes
Monitor daily activities to ensure smooth operations across all sites
Track tasks, requests, and follow-ups to ensure nothing is overlooked
Provide general administrative and coordination support as needed
Assist departments with ad-hoc duties
This position functions similarly to a central administrative support or PA to multiple departments, handling a variety of operational matters across the organisation.
