Job Summary
You will perform front desk reception duties and administrative tasks to support school operations, including managing communications, student records, and logistics related to school materials and deliveries.
Responsibilities
- Answer and transfer phone calls and attend to walk-in parents, students, and vendors to provide timely assistance
- Issue keys to staff for access to special rooms and maintain accurate records of key issuance
- Record student details and attend to students who are unwell at the sickbay to ensure proper care
- Contact parents to update them on their child's health status when unwell
- Record details of students leaving school early due to sickness or medical appointments and ensure completion of Early Dismissal forms
- Document lost and found items, track their movements, and update records at the end of each school term
- Receive delivery items and notify staff for collection from the General Office promptly
- Compile and maintain a list of students who have not collected their testimonials
- Manage the loan and return process of school uniforms to students, ensuring accurate tracking
- Distribute mailers and other materials as required to support school communications
- Prepare and count food coupons for payment when necessary
- Perform ad-hoc administrative duties as assigned to support daily school operations
Required competencies and certifications
- Hold a valid first aid certification with CPR to provide emergency care when needed
Preferred competencies and qualifications
- Possess a full GCE N Level Certificate or equivalent with a pass in English
- Demonstrate proficiency in Microsoft Office to manage documentation and communication tasks
- Exhibit effective communication and interpersonal skills with patience and calmness during challenging situations
- Show initiative and problem-solving skills to handle multiple tasks efficiently
- Ability to work independently and collaborate effectively within a team environment
- Have at least 3 years of relevant administrative experience, preferably in a school environment
Other Information
- Working hours: Mondays to Thursdays, 9:30 am to 6:30 pm (including 0.5-hour lunch break) Fridays, 10:00 am to 6:30 pm (including 0.5-hour lunch break)
- No work required on Saturdays, Sundays, and gazetted public holidays
