Responsibilities
- Provide day-to-day administrative support to ensure smooth office operations.
- Manage incoming calls and correspondence, responding independently where appropriate.
- Maintain office supplies and pantry inventory, and coordinate procurement of administrative items.
- Organise and maintain digital records by scanning and filing documents in the shared system for easy retrieval.
- Coordinate meeting logistics and support arrangements for client visits.
- Prepare Purchase Requisitions (PR) and Purchase Orders (PO) via the Company ERP system and assist with expense claim submissions.
- Support workers welfare matters, including coordinating dormitory room upkeep and assisting as the point of contact during medical emergencies.
- Perform ad hoc administrative tasks as assigned by the supervisor to support operational needs.
Required competencies and certifications
- Proficient in MS Office applications, including Word and Excel, to produce documents and manage data effectively
- Skilled in operating office equipment such as printers, scanners, binding, and laminating machines to support document processing
- Ability to use ERP systems for procurement and administrative tasks to maintain accurate records and transactions
Preferred competencies and qualifications
- Experience working in an ERP system to enhance efficiency in procurement and record-keeping
- Strong initiative to liaise with external parties regarding documentation to ensure accurate and timely communication
- Proficiency in Tamil or Bengali is advantageous to facilitate welfare checks with South Asian migrant workers.
- Ability to plan, analyse, and improve office operations for increased efficiency
- Meticulous attention to detail and strong organisational skills to prioritise tasks effectively
- Ability to multitask and deliver results under pressure and within deadlines
- Effective stakeholder management, interpersonal, and communication skills to collaborate with team members and external contacts
- Team player who can also work independently to support department goals
