Job Description
We are seeking an organized, proactive, and detail-oriented Administrative Assistant to support our Corporate Sales team. The successful candidate will provide day-to-day administrative and coordination support, maintain accurate sales records, prepare documents and reports, and facilitate communication between corporate clients, the sales team, and internal departments.
Key Responsibilities:
- Provide administrative and clerical support to the Corporate Sales team.
- Prepare, format, and organize proposals, presentations, quotations, contracts, renewal documents, and client correspondence.
- Coordinate appointments, meetings, presentations, and follow-up activities with corporate clients and prospects.
- Maintain accurate client, prospect, contract, and sales activity records in the company's CRM system or relevant databases.
- Monitor submission deadlines, proposal status, contract renewals, and outstanding client requirements.
- Assist the sales team with client onboarding and ensure that required documents are complete and submitted to the appropriate internal departments.
- Coordinate with operations, finance, customer service, claims, provider relations, and other departments to support client requirements.
- Respond to routine client enquiries professionally and direct more complex matters to the appropriate team member.
- Maintain organized electronic and physical filing systems for contracts, proposals, client records, and other sales documents.
- Support the planning and coordination of client meetings, corporate events, presentations, and business-development activities.
- Handle confidential company, client, and member information in accordance with applicable privacy policies and procedures.
- Perform other administrative duties assigned by the Corporate Sales Managers.
Qualifications and Experience
- Diploma in Business Administration, Marketing, Management, or a related field.
- Previous experience in an administrative, sales-support, customer-service, or office-coordination role is preferred.
- Experience in healthcare, insurance, managed care, employee benefits, or third-party administration is an advantage.
- Proficiency in Microsoft Office applications, particularly Word, Excel, PowerPoint, Outlook, and Teams.
- Strong written and verbal communication skills.
- Good numerical ability and attention to detail.
