The Office Admin cum Executive Support is responsible for ensuring efficient day-to-day office operations while providing comprehensive secretarial and administrative support to senior leaders. This role requires excellent organizational, communication, and coordination skills, as well as the ability to multitask and manage confidential information with discretion.

Key Responsibilities

Executive Support

  • Provide comprehensive secretarial and executive assistance to the Managing Director, including calendar, meeting, and travel management.
  • Coordinate internal and external meetings, logistics for both in-person and virtual sessions.
  • Manage travel itineraries, including flight bookings, accommodation, and visa applications.
  • Handle expense claim submissions, tracking, and approvals.

Office Administration

  • Act as the primary point of contact for all office and facilities-related matters.
  • Oversee general office operations, including reception, courier services, supplies, invoicing, and vendor coordination.
  • Partner with HR and IT to ensure seamless onboarding and offboarding processes.
  • Maintain accurate office records, filing systems, and administrative databases.
  • Improve efficiency and identify areas for improvement.
  • Organize company events, such as MD gatherings, SKO, and Dinner & Dance.
  • Manage corporate compliance renewals, including BizSafe and Green Mark certifications.
  • Support cross-functional projects, team initiatives, and ad hoc administrative tasks as required.

Qualifications & Requirements

  • Diploma or Degree in Business Administration or equivalent preferred.
  • Minimum 3 years of relevant experience in office administration or executive support roles.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong attention to detail, organization, and discretion with confidential information.
  • Positive attitude, strong sense of initiative, and ability to work independently and as part of a team.
