Our Digital Technology unit is seeking an Assistant Manager for our Administrative Operations and Billings team who can provide excellent back-office support to our project teams especially in the areas of:
Project set-up and timesheet mapping of project team.
Sales order creation and project maintenance in SAP.
Trigger billings and monitor accounts receivable.
Purchase request creation in SAP, supplier invoice validation and payment processing.
Monitor accounts payable for monthly urgent payments (eg external consultants).
Assist in resolving issues with other support functions.
Monthly reporting of new work won.
Assist with project risk assessment and due diligence submission.
Assist project directors and managers in monthly tracking of the financial health of projects.
Track balance budget and utilisation.
Track revenue recognise against revenue billed.
Timesheet clocking.
Maintain document filing registry and document retention policy.
Manage the site office's rental, utilities and cleaning services.
Reporting to the Administrative Operations Lead, you should have expertise in:
Advanced proficiency in MS Office especially Excel and Word
Being meticulous with details and numbers
General administrative duties such as simple paperwork, collating data in excel reports, ordering stationery
Liaising with internal project teams and Finance department on invoices, billing & payment processing
Handling multiple projects
Be a proactive and effective team leader and manager of people.
Good written and oral communication and soft skills.
Using Material Management and Sales Order functions in SAP and/or Dynamics 365
Understanding of basic contract law and financial accounting.
Monitor company certification and participate in various ISO teams preparation for recertification.
