About the Role
We are seeking a meticulous and proactive Admin cum Accounts Assistant to support our Singapore operations. This role combines administrative coordination, accounting support, and property document validation to ensure efficient office and business operations. The ideal candidate is detail-oriented, fluent in Mandarin and English, and thrives in a structured, fast-paced real estate environment.
Key Responsibilities
- Provide general administrative support: manage correspondence, filing/scanning, office supplies, visitor reception, and meeting coordination.
- Assist in accounting functions: bookkeeping, invoice and receipt entry, payment voucher preparation, and monthly reconciliations.
- Perform property documents validation: review and verify tenancy agreements, vendor/service contracts, lease abstracts, and maintenance documents for accuracy and compliance.
- Maintain and update databases: tenant/vendor records, property registers, lease expiry tracking, and insurance documentation.
- Liaise with property managers and internal teams to ensure complete documentation and smooth operations.
- Prepare routine admin and accounts reports (weekly/monthly summaries, ledgers, and document status updates).
- Ensure adherence to company policies and Singapore regulatory requirements.
- Support audits, handovers, and other ad hoc administrative or accounting tasks as assigned.
Requirements
- Minimum 3 years experience in administrative and/or accounting support, preferably within the real estate or property industry.
- Proficiency in Mandarin and English (spoken and written) to liaise with Mandarin-speaking clients and stakeholders.
- Solid understanding of basic accounting/bookkeeping processes (invoices, journal entries, receivables/payables).
- High attention to detail with strong property documents validation and record-keeping skills.
- Proficient in Microsoft Office (Excel, Word, Outlook); experience with accounting or property management systems is an advantage.
- Organized, self-motivated, and able to multitask effectively in a fast-paced environment.
- Based in Singapore and able to work on-site.
Nice-to-have
- Knowledge of Singapore property or tenancy documentation valuation and practices.
- Familiarity with accounting software or ERP systems.
