Job Description

Job Title- Admin/Accounts Executive

Job Description-We are seeking a highly organized and reliable Admin/Accounts Executive to support daily office operations and accounting activities. The role includes maintaining accounting records, managing administrative tasks, and preparing export documentation. The ideal candidate will be responsible for handling day-to-day office administration, recording accounting entries, preparing invoices and packing lists for export shipments, and generating invoices for consultancy services. The candidate will be expected to provide administrative and operational support to office staff and management

Key Responsibilities include:

  • Manage and organize office operations and procedures (e.g., filing systems, requisitions, meeting scheduling).
  • Handle incoming calls, emails, and correspondence.
  • Maintain records and documentation, both physical and digital.
  • Maintain and update financial transactions in Tally Software
  • Prepare and process invoices, payments, receipts, and expense reports.
  • Handle accounts payable and accounts receivable functions.
  • Assist the Company Directors with bank reconciliations, monthly closing activities and other ad-hoc accounting and administrative tasks as assigned.
  • Coordinate with the external accountant/auditors for yearly closings
  • Coordinate inbound and outbound shipments (domestic and international).
  • Liaise with freight forwarders, shipping lines, and transport companies.
  • Prepare and manage shipping documentation (e.g., bill of lading, invoice, packing list, customs forms etc) including submissions to the bank.
  • Track shipments and provide timely updates to relevant departments/customers.

Qualifications and Skills:

  • Bachelor's or Diploma degree in Accounting, Finance, or a related field.
  • 3-5 years of experience in a similar accounting or finance role.
  • Proficiency in Tally accounting software and Microsoft Office Suite - (especially Excel, word)
  • Good analytical, organizational, and communication skills.
  • High level of accuracy and attention to detail.
  • Ability to work independently
  • Must have a positive attitude, meticulous, responsible and good team player

Working Conditions:

  • Full-time role, office-based-Cecil Street-Singapore
  • Standard business hours Monday to Friday 9.00 AM to 5.30 PM
