Job Summary
Perform data entry and verify invoices by liaising with purchasers, customers, suppliers, and vendors to ensure accurate payment processing. Manage daily accounts, maintain project filing and bookkeeping systems, and support administrative tasks in a fast-paced environment.
Responsibilities
- Enter data accurately to support financial and administrative processes
- Verify invoices by coordinating with purchasers, customers, suppliers, vendors, and the Accounts Department to resolve payment issues
- Perform daily accounts and administrative duties to maintain smooth office operations
- Maintain a systematic project filing and bookkeeping system to ensure organized record-keeping
- Manage ad-hoc duties as assigned by the company to support various operational needs
- Communicate effectively with Mandarin-speaking vendors to facilitate vendor relations and payment processes
- Use Microsoft Office tools to prepare documents, reports, and correspondence
- Work independently to manage workloads and meet deadlines in a fast-paced environment
- Demonstrate meticulous attention to detail to ensure accuracy in all tasks
- Collaborate as a good team player and maintain professional working etiquette
Required competencies and certifications
- Proficient in Microsoft Office applications
- Ability to communicate in English and speak with Mandarin-speaking vendors to support vendor interactions
- Minimum 1 year of relevant work experience in finance, accountancy, or administrative support
Preferred competencies and qualifications
- Higher secondary/Pre-U/A level/College, Professional Certificate, or NiTEC in Finance, Accountancy, Banking, Business Studies, or equivalent
- Experience as a Junior Executive specializing in Clerical/Administrative Support or equivalent
- Ability to work independently and handle workloads efficiently
- Good communication skills and professional working etiquette
