Job Description

The Role:
The Accounts Executive is responsible for managing the day-to-day accounting and financial operations across multiple entities, ensuring the accuracy and integrity of financial records and compliance with applicable statutory and regulatory requirements. The role will oversee full-set accounting, accounts payable and receivable, reconciliations, financial reporting, GST, payroll, and related administrative functions, while providing timely financial information and operational support to Management.

Experience in project accounting, cost accounting, and the marine/shipping industry will be an added advantage.

Key Responsibilities:

  • Handle the full spectrum of day-to-day accounting operations, including bookkeeping, invoicing, payments, receipts, expense tracking, and maintenance of accounting records across multiple entities.
  • Manage Accounts Payable (AP) and Accounts Receivable (AR) functions, including invoice processing, payment scheduling, collections, and follow-up on outstanding balances.
  • Perform monthly bank reconciliations and ensure that all financial transactions are accurately recorded and properly supported by relevant documentation.
  • Prepare monthly financial reports, management reports, schedules, and supporting analysis as required.
  • Assist with month-end and year-end closing, including preparation of reconciliations, accruals, provisions, and other closing schedules.
  • Assist in the preparation of annual budgets, forecasts, financial analysis, and cost management reports.
  • Monitor expenditure and provide support in identifying cost-saving opportunities and variances against budget.
  • Ensure timely and accurate submission of GST, corporate tax, and other statutory filings and compliance requirements.
  • Liaise with auditors, tax agents, banks, government agencies, and other external parties on accounting and financial matters.
  • Attend to financial-related enquiries, surveys, and information requests from internal and external stakeholders.
  • Administer monthly payroll, including salary processing, deductions, CPF contributions, and other statutory requirements.
  • Prepare and submit relevant payroll and employment-related statutory documents, including IR8A, IR21, CPF submissions, and other applicable declarations.
  • Process employee claims, reimbursements, advances, and related documentation in accordance with company policies.
  • Maintain accurate and confidential employee and HR records, including payroll and employment documentation.
  • Manage applications and renewals relating to work permits, employment passes, licences, grants, and other government-related submissions.
  • Handle and verify shipping and logistics-related financial documentation, including Bills of Lading, commercial invoices, packing lists, and other relevant shipping documents.
  • Support accounting and administrative matters relating to vessel operations, marine projects, shipping activities, and cargo movements.
  • Coordinate with operations, project teams, logistics personnel, customers, and vendors to ensure accurate and timely processing of shipping and project-related documentation.
  • Perform general administrative and finance-related duties to support the smooth operation of the organisation.
  • Maintain proper filing, documentation, and records in accordance with company procedures and statutory requirements.
  • Support process improvements, system implementation, and other ad hoc projects assigned by Management.

Requirements:

  • Minimum 5 years of relevant working experience in accounting, finance, payroll, and/or HR administration, preferably with experience supporting multiple entities.
  • Strong knowledge of accounting principles, financial reporting, GST, corporate tax, payroll, CPF, and other relevant statutory requirements.
  • Working knowledge of Singapore employment and HR regulations, including the Employment Act and applicable statutory requirements.
  • Experience in full-set accounting and the ability to manage accounting functions independently.
  • Experience handling payroll administration, CPF, IR8A, IR21, employee claims, and HR documentation.
  • Experience in shipping, logistics, marine, or project-based environments will be an advantage.
  • Knowledge of project accounting, cost accounting, budgeting, and cost control will be an advantage.
  • Proficient in Microsoft Excel, Word, and Microsoft Office applications, with strong Excel skills for financial analysis, reconciliation, and reporting.
  • Experience with Xero Accounting Software and InfoTech HRMS will be preferred.
  • Able to work independently, manage multiple priorities, meet deadlines, and take ownership of assigned responsibilities.
