Job description:

As Accounts and Project Administrator, you will be responsible for supporting the OSP and IT department in project tracking and assisting the finance department in carrying out its responsibilities. They are responsible for various administrative tasks related to project management and finance, ensuring accurate documentation and compliance with company policies and accounting practices. You will work closely with the operating team and Directors.

Role Responsibilities:

  • Prepare and track client quotations and assist in tender preparation.
  • Process sales quotations, purchase orders, and invoices, generate reports as required.
  • Perform basic project costing and support project managers with variation orders and progress claims.
  • Track and update Schedule of Rates (SORs) in the accounting system.
  • Coordinate with internal engineering teams and vendors for quotations, scope requirements, and clarifications.
  • Consolidate and compile project data for reporting purposes.
  • Assist Directors with financial management tasks, including chargeability checks and cost variance reconciliations.
  • Maintain and update the financial dashboard and project worksheets.
  • Record and process all business transactions accurately in the accounting system.
  • Manage accounts receivable, including sales listings, receipts, and outstanding collections.
  • Ensure accurate data entry and maintain proper filing of documentation and records.
  • Provide general administrative support to the project team and perform ad-hoc tasks as required.

Qualifications Requirements

  • Diploma is relevant field.
  • Minimum 2 years of relevant experience.
  • Proficient in accounting software and MS Office applications (Excel, Word).
  • Strong knowledge of accounting principles and statutory requirements.
  • Exceptional organizational abilities with keen attention to detail.
  • Ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Excellent communication and interpersonal skills.
  • Proactive problem-solving attitude with the ability to anticipate issues.
  • Proven ability to manage time efficiently and meet deadlines.

Others:

  • Working hours are from Monday through Friday 8:30am to 6:00pm.
  • Ability to provide support outside regular business hours during peak periods such as month-end closing.
