Job Summary
Provide comprehensive administrative and secretarial support to ensure the efficient operation of the office, while assisting staff and management with logistics, coordination, and scheduling.
Responsibilities
- Manage daily office operations to ensure smooth administrative processes and workflow
- Deliver secretarial and administrative support by handling correspondence, preparing documents, and coordinating logistics including overseas travel
- Operate communication channels by managing phone calls and emails, and maintain inquiry logs for accurate tracking
- Collect, sort, and distribute incoming mail, packages, and correspondence promptly
- Maintain organized record filing systems, ensuring proper retention, archiving, and disposal of documents
- Monitor and replenish office supplies to maintain adequate resources for staff needs
- Coordinate with building management and vendors to manage office maintenance, repairs, contracts
- Schedule and track meetings, appointments, and meeting room bookings; greet and direct visitors professionally
- Maintain proper filing and documentation of all administrative and financial records
- Perform additional ad hoc administrative tasks as assigned to support office functions
- Process financial receipts and payments accurately and timely
