Job Description

Job Responsibilities

We are looking for a meticulous individual to support our office in both financial and general administrative capacities. Your role will involve:

Administrative & Office Support:

  • Document Management: Systematic filing, photocopying, and high-volume scanning of documents.
  • Digital Organization: Renaming and organizing digital files according to company naming conventions for easy retrieval.
  • Mail Handling: Managing incoming and outgoing mail, including collecting and posting letters/parcels.
  • Office Logistics: Monitoring and ordering office supplies, stationery, and pantry necessities (e.g., bottled water).
  • Ad-hoc Support: Carrying out any other administrative duties as instructed by senior staff.

Corporate Secretarial Admin:

  • Drafting Documents: Assist in drafting Director's Resolutions (circulars), minutes of meetings, and Annual General Meeting (AGM) documents.
  • Compliance Support: Help maintain and update the Register of Members, Directors, and Controllers.
  • Digital Filing: Precise scanning and renaming of legal and secretarial documents to ensure a clear audit trail.

Accounting Support:

  • GST Compliance: Assist in checking GST invoices and ensuring proper documentation for tax purposes.
  • Data Entry: Accurate entry of transactions into the accounting system.
  • Payments: Assist in the preparation of Giro, fast payment, cheques and payment vouchers.
  • Ad-hoc Support: Carrying out any other accounts duties as instructed by senior staff.
  • Client Liaison: Professional communication with clients regarding administrative or payment matters.

Requirements

  • Education: At least a Secondary School graduate or equivalent.
  • Experience: Open to all candidates relevant experience is a plus, but fresh graduates/entry-level candidates are welcome to apply.
  • Soft Skills: Must have a positive working attitude, be highly organized, and be able to meet deadlines.
  • Tech Savvy: Basic proficiency in handling office equipment (scanners/copiers) and digital filing.
