Administrative & Office Management
. Oversee and coordinate daily office operations to ensure smooth and efficient workflow.
. Manage local purchases, coordinate job schedules, and ensure timely completion of assigned tasks.
. Prepare quotations and proactively follow up with clients and vendors.
. Handle staff attendance, timesheets, overtime records, and expense claims accurately and promptly.
. Support HR administrative tasks, including onboarding, leave tracking, and maintaining personnel files.
. Coordinate internal and external meetings, travel arrangements, and company events when required.
. Maintain an organized and systematic filing system (both digital and hardcopy) for easy access and audit readiness.
. Communicate professionally with vendors, service providers, and customers to ensure effective collaboration and timely follow-up.
. Prepare, compile, and print reports and other documentation as required.
. Perform other ad-hoc administrative duties assigned by management.
Accounting & Finance Support
. Prepare and process sales orders, invoices, and delivery orders accurately and efficiently.
. Perform monthly bank, supplier, and customer reconciliations to ensure data accuracy.
. Maintain and update GST records assist in timely GST submission.
. Prepare and issue Statements of Account (SOA) to customers and follow up on payments.
. Update and monitor inventory, sales order, and accounting reports to reflect real-time status.
. Assist in bank reconciliation and other general accounting tasks as required.
