Key Responsibilities
Financial Record Keeping
- Maintain accurate and up-to-date financial records.
- Record daily transactions and promptly reconcile any discrepancies.
- Assist with monthly bank reconciliations and support internal audit processes.
Accounts Payable & Receivable
- Process vendor invoices, staff expense claims, and outgoing payments efficiently.
- Issue invoices to clients and proactively follow up on outstanding receivables.
- Track and archive all e-invoices in a systematic manner to ensure audit readiness.
Data Entry & Documentation
- Input financial data accurately into accounting systems.
- Update Statement of Accounts (SOA) sheets immediately upon receipt of supplier amounts.
- Review payment tracking sheets regularly to ensure all items are properly completed.
- Maintain organized and easily accessible records within the shared drive.
Administrative & Communication Support
- Proactively check and respond to work emails on a daily basis.
- Answer and manage incoming phone calls professionally and courteously.
- Communicate issues factually and escalate only when necessary, ensuring timely resolutions.
- Collaborate with internal teams to resolve discrepancies or concerns.
General Expectations
- Strictly adhere to designated working hours and comply with all company policies.
- Maintain consistent productivity and attention to detail, with or without supervision.
- Take initiative in organizing shared files and supporting general administrative duties.
