Job Description

Provide administrative and operational support to the Human Resources team, with a primary focus on recruitment-related work pass management. This role ensures timely processing, compliance with regulations, and accurate documentation. Assisting in recruitment and onboarding activities.

Recruitment & Work Pass Administration Support

. Provide administrative support for recruitment activities, including interview scheduling, candidate coordination, and documentation tracking.

. Assist in the preparation, submission, renewal, and cancellation of work pass applications (e.g., Employment Pass, S Pass, Work Permit) in compliance with regulatory requirements.

. Maintain accurate recruitment records, work pass trackers, and personnel files.

. Coordinate repatriation arrangements, including home leave logistics.

. Work closely with external agencies or service providers on recruitment and work pass matters.

General HR Administration

. Prepare HR documentation such as onboarding forms and employee records.

. Support onboarding administration for new hires, including checklist preparation and document collection.

. Update HR systems with employee data and handle general administrative tasks.

. Assist with ad-hoc HR projects or activities as assigned by the supervisor.

Requirements:

. Diploma in Business Administration or related discipline.

. Prior experience in HR administration, claims processing, or general office administration is a plus

. Exposure to recruitment coordination or work pass administration.

. Familiarity with HR systems or shared HR databases.

. Basic knowledge of Singapore employment or work pass processes.

. Strong administrative and organizational skills with attention to detail.

. Basic understanding of HR administrative processes.

. Ability to manage documentation, records, and trackers accurately.

. Good communication skills and ability to liaise with internal stakeholders and external parties.

. Proficient in Microsoft Office (Word, Excel, Outlook).

. Ability to handle sensitive and confidential information professionally.
