Job Scope:
A) Travel Administration & Planning, Calendar Management - covering assigned VPs
. Organize travel booking, flight, hotel, taxi, boarding pass, dinner appointment bookings - collaborate with Other Assistants where needed/possible to co-ordinate travels together and synchronize travel plans.
. Partner with BCD Travel, communicate changes, feedback on booking related issues.
. Serves as travel resource for flight bookings, visa requirements and any other business travel arrangements.
. Liaison with the respective Embassy on visa related matters, guides employees on visa application etc.
. Technical Issues management - Partner directly with BCD Travel to resolve employees issues trouble shoot, analyze and feedback
. Emergency support - assist on missed flight issues, etc. Provide guidance and assistance to secure flight seats & recommend appropriate measures for the situation.
. Propose corporate hotels, negotiate corporate rates - Upload corporate rates onto Global Approved Hotel List and escalate rates to BCD Travel to upload into the system.
. Propose & monitor taxi operators - negotiate & appoint. In constant liaison and monitor services provided.
. Follow up on all travel booking invoices and filing of claims via Concur.
B) Executive Administrative Support
. Provides administrative and secretarial support to the Vice Presidents include preparation of correspondence, guest reception, handles phone enquiry, document signatory, credit cards matter etc.
. Anticipate activity of VPs and propose solutions and/or step in where needed or upon consultation with the respective VPs.
. Manage VPs calendars, liaising with relevant stakeholder/organizations/clients, scheduling appointments, creating agenda etc.
. Prepare for guests visits and meetings, including agenda development, support with presentations, visa application, hotel/dinner/catering arrangements and liaison with other teams as required
. Meeting room preparation & organizing luncheon for guests hosted by VPs.
. Support special events leading, planning, organizing & coordinating: Opening Ceremony, Offsite Meetings, Group Visits etc.
. Interpretation and translation support
. Coordinate or create slides for team meetings and Town Halls.
. Provides organization and communication support for the team.
. Preparation of Expense claims: compile receipts and submit Concur monthly or ad hoc basis on behalf of the VPs
. Manages and support vendor management, including invoices workflows via SAP VIM, related to respective VPs cost centers
. Other ad-hoc support duties for the VPs other than listed above
