Job Summary
Manage and coordinate office operations, facilities maintenance, security access, business travel, and vendor relations to ensure a safe, efficient, and comfortable workplace environment.
Responsibilities
- Coordinate business trip arrangements, hotel bookings, temporary accommodations, and visa/work permit applications to support employee mobility
- Manage security door access, including creating and deleting access card user profiles and providing after-hours door access support to maintain workplace security
- Oversee facilities services and maintenance activities to ensure operational efficiency and a well-maintained office environment
- Maintain overall office operations, ensuring a clean, organized, and comfortable workspace for all employees
- Manage inventory and procurement of office supplies, equipment, and pantry items to support daily office functions
- Handle incoming and outgoing mail, packages, deliveries, document circulation, and visitor reception to facilitate smooth communication and logistics
- Coordinate with vendors, contractors, and service providers to ensure timely and quality delivery of office services
- Organize office activities such as meetings, event planning, and town hall bookings to foster employee engagement and collaboration
- Collaborate with cross-functional teams to streamline workflows and support organizational objectives
- Ensure all office operations comply with relevant policies and regulations to maintain legal and procedural standards
- Perform other duties as assigned to support office management and operations
