About the Role

Vulcan BioEnergy is seeking a Founder Office & Business Operations Executive to work directly with the Founder & CEO.

This is not a traditional PA role. You will help translate priorities into action, coordinate internal and external stakeholders, support business operations, and drive important matters through to completion.

The role is ideal for an early-career professional who has built a foundation in business operations, project coordination, executive support or a related field, and is ready to take on broader responsibilities in a fast-growing startup.

You will gain direct exposure to business building, regional projects, strategic partnerships, sustainability and climate-tech initiatives. As the company grows, a high-performing individual may progressively take ownership of business operations, special projects and strategic initiatives.

Key Responsibilities:

Founder Office & Business Execution

Support the Founder in managing priorities, meetings, business travel and follow-up actions.
Prepare briefing notes, presentations, correspondence and meeting materials.
Translate discussions and priorities into structured action plans and drive follow-through.
Conduct research, consolidate information and prepare concise summaries for decision-making.
Take ownership of selected cross-functional and special projects.

2.Business Administration & Coordination

Coordinate payroll, payments, reimbursements, banking/KYC and basic cash tracking.
Maintain key corporate, financial and business documentation.
Coordinate with outsourced accountants, corporate secretaries, legal advisors and other professional service providers.
Support basic HR and corporate administration where required.

3.External Engagement

Support engagements with business partners, industry organisations, academic institutions and government-related organisations.
Coordinate meetings, events, visits and stakeholder communications.
Prepare background materials and manage appropriate follow-up.

4.AI & Productivity

Use AI and digital tools for research, drafting, information synthesis and workflow improvement.
Proactively identify information gaps, required resources and next steps rather than waiting for detailed instructions.

Candidate Profile:

Approximately 2–8 years of relevant working experience in business operations, project coordination, Founder/CEO Office, executive support or related roles.
Bachelor's degree preferred. Diploma holders with strong relevant experience will also be considered.
Strong written and spoken English; working Mandarin is an advantage for regional stakeholder interactions.
Hands-on, resourceful and comfortable working in a small, fast-moving startup environment.
Able to work independently and solve unfamiliar problems with limited supervision.
Strong organisation, communication, judgement and follow-through.
Comfortable using AI and modern productivity tools.
Experience in startup/SME, sustainability, ASEAN business, investment, professional services or public affairs is an advantage.
Exposure to entrepreneurship, innovation, startup projects or business-building activities will be viewed positively.
