What this job involves:
As a Workspace Experience Ambassador, you'll be the face of hospitality and community building in our client's workspace. This highly visible role centers on creating memorable experiences for colleagues and visitors through exceptional event coordination and proactive engagement. You'll serve as the primary point of contact for all client events on site, managing everything from initial briefs through execution and follow-up. Working closely with client staff, customers, and service partners across the business, you'll help foster a culture of excellence that delivers world-class workplace experiences. This hands-on position requires a self-motivated individual with a customer-centric approach who thrives in a dynamic, ever-evolving environment and embodies our commitment to creating exceptional, memorable experiences at every touchpoint.
What your day-to-day will look like:
Event Coordination & Management
You'll serve as the first point of contact for all client events, creating and managing event briefs, arranging pre-event meetings with clients to discuss specific needs, and maintaining event space diaries through the booking system. You'll oversee furniture setups and ensure smooth event execution from start to finish. Regular weekly meetings with the event team will ensure seamless communication across all service providers on site.
Community Building & Engagement
You'll build a conscious community through developing and maintaining a local event calendar aligned with regional initiatives. This includes synergizing event initiatives and messaging with employee resource groups, HR, and contractors, and driving collaboration across different industries through community programming such as workshops, wellness sessions, and other engaging activities.
Workplace Experience & Support
You'll orient new hires to ensure they feel valued and welcome, including arranging access, providing welcome packs, and conducting site tours. You'll collect and analyze workspace data to improve the overall experience, engage with colleagues to understand workstyle behaviors, and make recommendations based on their feedback. Leading showrounds to promote meeting room and event space usage while remaining flexible to accommodate host requests will also be part of your responsibilities.
Client Relationship Management
You'll build highly trusted relationships with client staff and their clients through proactive engagement, active listening, and prompt action. Working collaboratively with service partners to promote a one-team approach, you'll share innovative ideas and provide feedback to ensure a seamless service experience.
Operational Excellence & Continuous Improvement
You'll consistently review and improve event policies and procedures to align with business needs and deliver service excellence. This includes effectively managing and resolving complaints with documented action plans, collecting and acting on post-event feedback through regular audits and inspections, and analyzing reports and data to provide monthly statistics that identify improvement areas and inform action plans.
Technology & Innovation
You'll collaborate with the Business Intelligence & Technology team to introduce innovative technical solutions that enhance customer experience, increase event engagement, and demonstrate operational efficiency.
Reporting & Documentation
You'll provide weekly updates to the Workspace Experience Manager regarding the workspace experience, event calendar, workspace data, and change management initiatives. You'll document your stakeholder plan and report on engagement activities, success stories, and community meetings while staying current on organizational initiatives and promoting them as required.
Health, Safety & Sustainability
You'll prioritize the health and safety of people and buildings by following established safety protocols, reporting hazards and incidents, maintaining cleanliness standards, and completing all required safety trainings. You'll also support sustainability initiatives that promote resource efficiency, energy conservation, and environmental stewardship in line with client goals.
Required qualifications:
- Bachelor's or university degree in any field
- Excellent oral and written communication skills
- Strong baseline skill in end-to-end event management, including coordinating with facilities, technicians, and cleaning teams, managing event forms and setup, handling post-event logistics, and maintaining monthly event trackers
- Comfortable engaging with stakeholders and clients at all levels
- Presentation skills with confident hosting abilities
- Highly adaptable and comfortable with change
- Able to manage difficult clients and stakeholders effectively
- Strong multitasking ability under time pressure
- Confident and professional demeanor
- Proficient in MS Excel, Word, and PowerPoint
Preferred qualifications:
- Background in frontline roles such as hotels, co-working spaces, or office management
- Regionally, preference for hospitality industry experience; locally open to broader frontline customer service experience
