Role Summary
This role supports workplace and office operations to enable a smooth and effective working environment for project teams. The individual will handle office coordination, workplace logistics, and operational support, working independently to manage multiple requests in a fast paced setting.
Key Responsibilities
1. Workplace & Operations Support
. Support day to day workplace operations, including procurement of office supplies and pantry provisions
. Coordinate food and logistical arrangements to support team activities and meetings
. Maintain basic operational trackers (e.g. office assets, equipment, access items)
. Support office location changes or workspace transitions during defined periods, where required
2. Scheduling & Coordination
. Coordinate meeting schedules and send calendar invites as required
. Track meeting logistics and follow up on arrangements to ensure readiness
. Ensure meeting details (venue, materials, attendees) are organised and communicated
3. Meeting & Logistics Support
. Prepare meeting materials where required
. Support meeting setup and post-meeting follow-ups
. Assist in ensuring smooth execution of team meetings and events
4. Operational Records & Asset Management
. Maintain and update organisation charts and operational records
. Track and manage office related items such as access cards and asset lists
. Ensure operational documentation is kept current and organised
5. Workplace Point of Contact
. Act as the central point of contact for day-to-day administrative queries
. Liaise with internal teams (e.g., facilities, IT, HR) for operational requests
6. Ad Hoc Support
. Provide general workplace and administrative support as required by the team
Key Attributes
. Able to work independently in a fast paced environment with a positive and proactive attitude
. Experience in workplace operations or office coordination roles
. Organised, practical, and comfortable handling multiple requests concurrently
. Clear and professional communication skills
