We provide Underground Utilities Infrastructure construction and maintenance, sewer pipeline rehabilitation, road and airfield construction and maintenance as well as asphalt pre-mix production and construction waste recycling.
RESPONSIBILITIES
We are seeking a highly organised and proactive Workforce Administrative Assistant to support our Facilities, Dormitory, and Security (FDS) operations. The successful candidate will play an important role in maintaining accurate records and providing essential administrative support to ensure smooth day-to-day operations.
Roles and Responsibilities
Facilities, Dormitory & Security (FDS) Support
- Update and maintain dormitory records in the Employee Management System (EMS).
- Perform accurate data entry of resident information into dormitory management systems or spreadsheets.
- Organise, file, and maintain documents such as tenancy agreements, maintenance reports, invoices, and correspondence.
- Ensure all records are properly updated, securely stored, and easily retrievable for audit and operational purposes.
- Prepare FDS claim forms, obtain authorised signatories, and submit documents to Finance scan and file records in Google Drive.
- Process FDS delivery orders by obtaining verification and signatures, and ensure proper submission and e-filing.
- Facilitate authorised signatory collection for FDS-related invoices and ensure submission to Finance with proper documentation.
- Support the collection of authorised signatures for overtime timesheets.
- Monitor inventory levels, identify low-stock items, and raise Purchase Requisitions in the Taskhub system when required.
- Submit leave applications on behalf of staff in the leave management system when necessary.
- Maintain proper filing of all FDS-related forms and documents.
- Assist in the coordination of FDS-related events or operational activities when required.
- Perform any other duties as assigned by the immediate supervisor or Head of Department.
QUALIFICATIONS- Minimum GCE O Level or equivalent.
- Minimum 1-2 years of relevant administrative experience.
- Proficient in Microsoft Office applications (Excel, Word, PowerPoint).
- Strong organisational and time management skills with the ability to handle multiple tasks.
- High attention to detail and accuracy in documentation and data entry.
- Good communication skills for effective coordination with internal stakeholders.
- Able to work independently as well as in a team environment.
