Job Description

  • Position : Trust Advisor & Executive Assistance to Director
  • Working Location : Suntec Tower
  • Working Day : 5 Days 9 - 6 PM
  • Salary Budget : Junior :$4000 - $5,000 + AWS (No VB) / Senior : $5,000 - $6,800+ AWS (No VB)

Summary:

  • To perform this job successfully, the individual is expected to handle highly sensitive and confidential information while exercising professionalism and discretion.
  • Reporting and supporting the Executive Director and will work closely with and supporting the principal.
  • Ideal candidate from trust consultancy firm, law firm or accountancy firm.
  • Preferred working experience as legal secretary, trust specialist, trust manager or legal specialist.
  • Experience in handling trust administrative, legal documents or fund investment are highly preferred.
  • Assist Director in going through legal & trust documents from outsource law firm or trust agency if have any omission.
  • Must able to provide advise for director on certain issues on trust duties and legal areas.
  • This role will report to the Managing Director [ Hong Kong Lady ] at Canada and Director [ Singaporean Lady ] at Singapore's office.

Job Duties:

  1. Assist in providing administrative support / services as well as solutions meeting the needs for the Company and the Group.
  2. Assist in creating, formatting, and proofread documents, including letters, reports, memos, and presentations to ensure accuracy and professionalism in all written materials.
  3. Transcript of voice recording of meetings / phone conferences.
  4. Draft, review & comments emails / agreements / documents for Executive director's consideration.
  5. Comfortable to identifying and evaluating legal and compliance risks within the company and the group.
  6. Monitor and report on regulatory changes and developments.
  7. Record and monitor deadlines, update status and tracking internal database / reports of relevant tasks / project assigned.
  8. Administer and maintain databases / files renaming, reorganizing, and maintaining files, folders, documents, and internal database (spearhead converting largely to digitally).
  9. Assist in office management.
  10. Carry out other ad-hoc tasks / projects assigned by Executive Director
