Upkeep training and office facilities including coordination of scheduled maintenance and upgrading works
Provide administrative and logistical support including maintaining and updating training and office assets and inventories
Administer maintenance contracts, including renewal of contracts for training and office administration supplies and equipment, maintenance of facilities and renovation of premises
Administer the procurement and purchase of training and office supplies, equipment and other items and services including monitoring of their usage, conditions and stock levels, putting up recommendations, getting quotations, placing orders, raising purchase requisitions, processing payments and ensuring delivery and quality of products and services
Administer the disposal of assets and other items, ensuring proper documentation, etc
Upkeep the department's ICT equipment inventory and needs including sourcing, procuring, maintaining and disposing
Coordinate with relevant parties including ICT departments on technical support, regular maintenance, patches and updates and IT security of the computers
Staff Administration
Provide administration support on staff matters including processing of staff's benefits, leave, claims, etc and coordinating arrangements for onboarding of new staff
Administer course enrolments, registrations and confirmation for local external courses
Administer trainers matters including payment to trainers
Training And Other Administrative Functions
Assist to coordinate and monitor section budget including operating and capital expenditures
Assist to coordinate the submission of management and financial reports, covering training statistics and expenditures/ budgets
Ensure proper documentation and governance including filing of documents, compliance with policies, regulations, etc
Administer training subsidies and funding with relevant governmental agencies and institutions
Collate training evaluations and administer other follow ups
Setup and maintain course information / training data in learning system for retrieval, analysis and reporting
Process invoices from external parties and inter-departmental recoveries for services rendered to them
Provide general administration support such as application for visitor's pass, processing of access to PSA's premise(s), etc
Assist in administrative and logistical support for training and department functions / events including catering for meals and sourcing for venues and souvenirs
Review and implement process and productivity improvements
Undertake any other duties and tasks that may be assigned
Degree / Diploma Holder preferably with at least 1-2 years of relevant experience
Good knowledge of Microsoft Office applications including Excel, MS Office Word and PowerPoint
Basic knowledge of computer hardware and software
Detailed and meticulous with strong administrative skills
Good verbal and communication skills
Self-motivated, takes initiatives, is resourceful and able to work independently as well as a team
Able to work under pressure and in a fast-paced environment
Good interpersonal skills to build and maintain strong working relationships with internal stakeholders and training providers
