Summary
For a public sector client in the arts and heritage domain, we are seeking a Temporary Administrative Support Executive to join the Arts and Heritage Division . In this role, you will provide General Admin, Project Management, and Data Management support to help implement policies and initiatives across the arts and heritage sectors. You will work closely with officers in the Division to coordinate meetings, events, and travel, manage and verify data across multiple sources, and handle procurement and stakeholder communication tasks. The position is initially for 3 months starting in April/May 2026, with the possibility of extension up to a maximum of 1 year, subject to work performance and divisional requirements.
What You Will Do
- General Administration: Handle documents, coordinate internal processes, support officers across workstreams, schedule meetings, and follow up on action items.
- Meetings & Events: Organize meetings, workshops, seminars, and major programmes/events, including logistics (venues, refreshments, materials, stationery), registrations, and coordination with suppliers and partners.
- Travel & Procurement: Support travel planning (flights, accommodation, gifts, declarations, claims) and manage procurement tasks such as sourcing quotations and preparing administrative documentation.
- Data Management: Verify, validate, and consolidate data from multiple sources and agencies, ensuring accurate updates in Excel and other Microsoft Office applications.
- Stakeholder, Research & Comms Support: Maintain stakeholder lists, assist with communications, conduct basic research and document preparation, and undertake other administrative or projectrelated tasks as required.
Your Skills
- Minimum 3 years of experience in administrative or coordination roles involving data handling, documentation, and stakeholder management.
- Bachelor's Degree (required), preferably in Business, Administration, or related fields strong digital literacy and proficiency in Microsoft Office, especially Excel.
- Highly meticulous and detail-oriented, able to verify data accurately and manage multiple tasks with consistency and reliability.
- Strong team player with good communication skills, able to work effectively with internal officers, external partners, and manage deadlines within a structured work schedule.
