What youll do:

As a Team Administrator and Executive Assistant based in Singapores vibrant financial district, you will be at the heart of executive operations for a leading private markets advisory firm. Your day-to-day responsibilities will see you expertly managing schedules across global time zones while anticipating the needs of senior leaders to maximise their effectiveness. You will coordinate communications between executives and stakeholders, both internally among business heads and externally with clients, ensuring that every interaction is handled with professionalism and discretion. Your ability to prepare detailed documents for meetings or client presentations will be highly valued as you help drive strategic initiatives forward. In addition to supporting client relationship development through meticulous record-keeping in CRM systems like CLiCK and Outlook, youll also play an integral role in event planning, from annual cocktail parties to APAC offsites, ensuring every detail is managed seamlessly. By collaborating with fellow assistants and office staff, youll contribute significantly to maintaining an efficient office environment where everyone can thrive.

  • Provide comprehensive administrative support to senior executives by managing complex diaries, scheduling meetings across multiple time zones, and handling all related logistics to ensure seamless daily operations.
  • Act as a key liaison between executives and both internal and external stakeholders, coordinating communications with clients, partners, and colleagues to maintain strong professional relationships.
  • Prepare high-quality documents including proposals, reports, presentations, meeting agendas, and briefing materials tailored for senior leadership and client interactions.
  • Manage inboxes efficiently by screening emails, flagging urgent items for action, drafting responses where appropriate, and ensuring timely follow-up on all correspondence.
  • Support client relationship development by tracking workload against targets, building understanding of key contacts within the industry, and assisting with customer onboarding processes.
  • Maintain up-to-date records in CRM systems such as CLiCK and Outlook by entering contact details, updating background information on clients, and managing distribution lists for marketing initiatives or events.
  • Coordinate travel arrangements for executives including booking flights, accommodation, preparing itineraries, ensuring compliance with visa requirements, and resolving any diary conflicts related to travel plans.
  • Assist in organising internal and external meetings or conference calls by confirming logistics with all parties involved and ensuring that all necessary materials are prepared in advance.
  • Provide administrative support around key events such as annual gatherings or offsite meetings by managing invitations, logistics planning, document preparation, and post-event follow-up actions.
  • Collaborate closely with other Executive Assistants and the Office Manager to ensure smooth office operations and provide cover during absences or peak periods.

  • Demonstrated experience providing proactive administrative support to multiple senior managers within financial services or professional services prior exposure to private equity or investment management is highly desirable.
  • Outstanding communication skills, both written and verbal, with proven ability to interact effectively across different levels of seniority as well as geographies.
  • A collaborative approach combined with high you bring a positive attitude along with eagerness to learn new concepts relevant to private markets advisory.
  • Exceptional organisational abilities enabling you to multitask efficiently while prioritising competing demands under tight deadlines without compromising quality.
