As a key member of the Talent Acquisition team, the Talent Acquisition Coordinator plays a critical support role in delivering an efficient, compliant, and seamless recruitment experience across the organisation. You will contribute to building a diverse and high-performing workforce by ensuring smooth coordination between candidates, hiring managers, HR Consultants, and internal systems-all in line with Julius Baer's talent strategy and employer branding objectives.
Your Challenge:
- Manage end-to-end administrative aspects of the recruitment lifecycle, including job posting, resume screening, scheduling interviews, and coordinating assessments
- Maintain and update records in the Applicant Tracking System (ATS - Workday), ensuring data accuracy and compliance with internal policies and local employment regulations
- Prepare offer and contract documentation, support onboarding logistics, and liaise with HR Services teams to ensure smooth transitions
- Coordinate recruitment events, career fairs, and campus outreach initiatives to strengthen our employer brand presence
- Generate routine reports and dashboards using recruitment data, supporting analysis on time-to-fill, source effectiveness, diversity metrics, and other KPIs
- Partner closely with Talent Acquisition Specialists in Zurich and Hiring Managers to prioritise open roles and manage workload efficiently
Your Profile:
- Bachelor's degree or equivalent practical experience
- Minimum of 2-3 years experience in an HR or recruitment coordination role, preferably within financial services or a multinational organisation
- Solid understanding of recruitment workflows, Singapore and Hong Kong employment law fundamentals, and confidentiality requirements
- Proficiency in MS Office, particularly Excel (including basic formulas and data formatting) prior experience with Workday is highly desirable
- Strong written and verbal communication skills in English
- Highly organised with excellent attention to detail, capable of managing multiple tasks under tight deadlines
- Proactive mindset with a customer-service orientation toward both internal stakeholders and external candidates
- Collaborative team player who thrives in a dynamic, regulated environment and adapts easily to changing priorities
