About The Role
We are seeking a proactive Vendor Management & Aftersales Specialist to manage Long Lead Equipment (LLE) vendors and ensure effective post-delivery support for mission-critical infrastructure.
This role is responsible for vendor performance, warranty management, service coordination, and equipment lifecycle support. You will work closely with Engineering, Operations, Projects, and Procurement teams to ensure critical equipment operates reliably throughout its lifecycle.
Key Responsibilities
Vendor Relationship Management
- Act as the primary contact for LLE vendors, OEMs, and service providers
- Build strong vendor relationships to ensure service quality and contractual compliance
- Coordinate with internal teams (Engineering, Projects, Operations, Procurement)
- Monitor vendor performance against SLAs, KPIs, and contracts
- Manage and resolve vendor issues and escalations
- Participate in vendor performance reviews
Aftersales Support & Service Coordination
- Manage post-delivery support including warranty and claims
- Coordinate preventive and corrective maintenance activities
- Ensure timely resolution of equipment failures and service requests
- Track maintenance history, service records, and warranty status
- Support root cause analysis and corrective actions
- Ensure service continuity and operational reliability
Documentation & Asset Management
- Ensure complete equipment handover documentation (O&M manuals, drawings, asset registers, spare parts, warranty certificates, service reports)
- Maintain centralized records for contracts, warranties, and service agreements
- Ensure documentation accuracy, control, and accessibility
Reporting & Continuous Improvement
- Prepare reports on vendor performance, service activities, and warranty trends
- Provide insights to improve vendor management and service processes
- Support audits, compliance checks, and operational readiness reviews
Requirements
Education
- Bachelor's Degree in Engineering, Supply Chain, Facilities Management, Operations, or related field
Experience
- 3–8 years in vendor management, aftersales support, maintenance coordination, or supply chain operations
- Experience with Long Lead Equipment or mission-critical infrastructure preferred
- Background in data centres, utilities, telecommunications, industrial plants, or M&E contracting is an advantage
Technical Exposure (Preferred)
- UPS systems, generators, chillers, cooling systems
- Switchgear and electrical distribution systems
- Fire protection systems
- Mechanical & electrical infrastructure
- Data centre or critical facility equipment
Skills & Competencies
- Strong vendor management and stakeholder coordination
- Good negotiation and communication skills
- Problem-solving and issue resolution ability
- Strong documentation and reporting skills
- Ability to manage multiple priorities in a fast-paced environment
