Job Objective:
- Identify and manage suppliers to ensure high performance of vendors to support United Oil's operations
- Manage purchasing and procurement processes of raw and packaging materials to meet production requirements
- Support planning of master production schedule by providing forecast planning of raw materials/packaging materials.
Core Responsibilities:
Management of Suppliers
- Establish strong relationships with suppliers and negotiate prices and terms to achieve optimal pricing arrangements
- Support vendor selections by providing appropriate options based on objective metrics related to cost, quality, service, responsiveness and timeliness of delivery
- Monitor performance of suppliers, identify potential supply issues and take necessary actions to prevent disruptions, and work together with the manager to resolve problems and decide on appropriate actions for non-conforming suppliers.
- Source for alternative suppliers to ensure operational efficiency of the supply chain in times of uncertainty
Management of Documentation and Administrative Processes
- Raise Purchase Orders for routine purchases of base oil, packaging materials, raw materials and other non-product related purchases to meet operational requirements and maintain minimum inventory levels, and follow up with Purchase Order acknowledgements
- Arrange forecast of weekly delivery schedule (packaging materials) to let suppliers get ready the packaging material to fulfil the master production schedule.
- Coordinate packaging material artwork design requirements between the Business Development department and the in-house artwork designer and the supplier designer
- Conduct inventory planning and forecasting of base oil, empty packaging materials and raw materials purchase quantities based on current demand predictions and historical consumption data.
- Prepare Proforma Invoice for inter-company transactions and others (materials) when needed.
- Prepare stuffing list for inter-company container shipment arrangement.
- Update packaging material costs into server to assist the Business Development Department in preparing quotations for customers
- Conduct monthly/quarterly review of outstanding purchase orders on SAP system and follow up when necessary
- Conduct other supply chain tasks and support
Process Improvement
- Engage relevant stakeholders to review and improve operational processes
Job Specifications:
Minimum education qualifications:
- Diploma in Supply Chain, Logistics or relevant field
Minimum years of experience:
- 2 years of relevant experience in Supply Chain Management
- Experience in oil and lubricant industry an advantage
