. Process Purchase Requests and confirm order details (e.g. model, quantity, and specification).
. Source and negotiate prices, terms, and delivery schedules with approved suppliers.
. Issue Purchase Orders (POs), verify invoices against deliveries, and manage returns or credit notes for any discrepancies.
. Maintain accurate records of purchase status and update the project order list daily.
. Prepare weekly reports on outstanding orders and supplier performance.
. Serve as the primary contact for daily logistical scheduling and coordinate the collection and distribution of deliveries.
. Liaise with logistics teams to manage collection and distribution schedules to ensure timely fulfillment.
. Conduct weekly cycle counts and quarterly stock checks of materials and machinery reconcile physical stock with inventory records and report any variances.
. Maintain accurate warehouse documentation (e.g. logbook, PPE records, Form, etc).
. Follow up on partial deliveries and resolve any shipping delays or discrepancies.
. Maintain accurate supply chain data on Microsoft Excel and Google Sheets.
. Support the team in implementation of procurement, warehouse and logistics strategies.
. Support the team with system updates for any order or inventory discrepancies.
. Generate weekly/monthly supply chain reports for relevant stakeholders.
. Analyze and anticipate stock requirements to support regular stock replenishment.
. Participate in continuous process improvements for procurement and logistics operations.
. Any ad-hoc duty assigned by Direct Superior if required.
