Job Description

1. Student Support and Welfare

  • Serve as one of the key contact points for students on general school matters, student support needs, and welfare-related concerns.
  • Provide timely support to students facing academic, attendance, personal, adjustment, or disciplinary issues.
  • Coordinate counselling referrals, parent engagement, and follow-up support where required.
  • Maintain proper records of student support cases, intervention actions, counselling notes, and follow-up outcomes.
  • Support student orientation, onboarding, and briefings to ensure students understand school rules, attendance requirements, communication channels, and available support services.

2. Attendance Monitoring and Intervention

  • Monitor student attendance records regularly and identify students with poor attendance, repeated lateness, or unauthorised absence.
  • Coordinate attendance follow-up with students, parents/legal guardians, and relevant staff.
  • Issue attendance reminders, advisory emails, warning letters, and intervention records in accordance with school policies.
  • Support escalation of serious or repeated attendance issues to the relevant HOD, Principal, Management, or Disciplinary Panel where required.
  • Ensure attendance-related records are properly maintained for internal tracking, regulatory compliance, and audit purposes.

3. Student Conduct and Discipline

  • Assist in managing student conduct matters in accordance with the school's Student Code of Conduct and disciplinary procedures.
  • Document misconduct incidents, investigation notes, student explanations, parent communication, and follow-up actions.
  • Coordinate with Academic Department and Management on disciplinary cases, including warnings, probation, suspension, or termination recommendations where applicable.
  • Promote positive student behaviour, responsibility, and respect within the school community.
  • Coordinate student activities, workshops, briefings, learning journeys, community involvement opportunities, and student events.

5. Student Records and Documentation

  • Maintain accurate and updated student records, including student particulars, attendance, leave applications, parent communication, support records, and disciplinary records.
  • Ensure proper filing and retrieval of documents in accordance with the school's document control and data protection requirements.
  • Support preparation of student-related reports, statistics, evidence files, and audit documentation.
  • Ensure confidentiality of student information and compliance with the Personal Data Protection Act where applicable.

6. Leave Application and Student Requests

  • Process student leave applications, medical certificates, and supporting documents in line with school policies.
  • Verify that submitted documents are complete, valid, and properly recorded.
  • Communicate leave outcomes and attendance implications to students and parents where required.
  • Assist students with general requests, letters, forms, and administrative support.

7. Communication with Parents and Stakeholders

  • Communicate professionally with parents/legal guardians regarding attendance, behaviour, welfare, academic-related concerns, and student support matters.
  • Provide timely updates while ensuring communication remains accurate, documented, and aligned with school policy.
  • Work with education agents, where applicable, on student support or parent communication matters, while maintaining confidentiality and professionalism.

8. Compliance and Audit Support

  • Support compliance with school policies, EduTrust requirements, ICA-related attendance requirements, and other applicable regulatory expectations.
  • Assist in preparing evidence for internal reviews, management reviews, EduTrust audits, and regulatory submissions where required.
  • Ensure student services processes are properly documented, implemented, monitored, and reviewed.
  • Participate in internal reviews and contribute to corrective actions or process improvements.

9. Team Supervision and Operational Support

  • Assist the HOD in supervising Student Services staff and ensuring daily operational tasks are completed.
  • Provide guidance to junior staff on student support procedures, documentation standards, and communication practices.
  • Support cross-department coordination with Academic, Admissions, Finance, Compliance, and Management.
  • Assist in improving student services workflows, forms, trackers, and reporting templates


Requirements:

  • Diploma or Degree in a relevant field.
  • Minimum 3 years of relevant experience in education, student services, school administration, or customer service.
  • Strong communication, follow-up, and administrative skills.
  • Able to handle students and parents professionally.
  • Experience in a PEI or international school environment will be an advantage.
