Job Description:

Position Title: STT Administrator

Reports To: STT Manager

Location: Singapore

Position Summary:

The STT Administrator will support the STT Manager in overseeing recruitment, training, quality control, and technology initiatives for transcribers, QCers and STT Editors. This role is pivotal in assisting smooth day-to-day operations, maintaining high-quality standards, and fostering team engagement across the STT function. The role requires a proactive and organised individual with strong communication skills and a keen eye for detail.

Key Responsibilities:

Operations Support

  • Convert Liberty audio and process audio through STT engines in collaboration with the Operations team.
  • Respond to queries from transcribers, STT editors, and QCers - escalating to relevant team members where necessary.

Recruitment & Onboarding

  • Assist in recruiting transcribers, QCers, and editors.
  • Administer and compile online and onsite pre-recruitment evaluations.
  • Manage recruitment correspondence and serve as the first point of contact for onboarding queries.

Training

  • Support the STT Manager in training new transcribers, STT Editors, and QCers.
  • Handle training administration and communications.
  • Create training videos and assist in migrating modules to SC Training (under direction from the STT Manager).
  • Administer SC training modules, track completion, and follow up with trainees.
  • Conduct regular check-ins with new starters to foster engagement.

Quality Control

  • Perform maintenance QC checks per the QC schedule.
  • Manage QC system administration and reporting to STT and Operations Managers.
  • Conduct ad hoc QC checks and ensure feedback is delivered to team members.
  • Monitor recurring feedback trends and escalate to management.
  • Act as the first point of contact for QCer queries.
  • Update and distribute manuals to reflect client requirements.

Errata Management

  • Respond to errata requests within defined timeframes.
  • Investigate errors and maintain the errata tracking spreadsheet.
  • Provide constructive feedback to transcribers/editors.
  • Update manuals based on errata findings and distribute accordingly.

Technology Projects

  • Assist with technology initiatives, including testing and reporting.

Reporting & Metrics

  • Monitor transcriber and STT Editor progress and support tier alignment.
  • Manage progression-related administration.
  • Collate and report metrics such as audio minutes processed and STT Editor ratios.
  • Review STT Editor feedback and collaborate with the STT Manager on improvement actions.

Special Projects

  • Provide support on special projects as directed by the STT Manager.

Qualifications:

  • High school graduate
  • Prior experience in transcription, speech-to-text (STT) editing, or quality control is highly desirable.
  • Experience in recruitment, training coordination, or team support roles is an advantage.
  • Familiarity with STT technologies and transcription platforms is desirable.

Skills and Competencies:

  • Technical Proficiency: Comfortable working with STT engines, audio processing tools, and training platforms.
  • Communication: Strong written and verbal communication skills for liaising with team members, handling queries, and providing feedback.
  • Organisational Skills: Excellent time management and ability to juggle multiple responsibilities across defined operational tasks, recruitment, training, and quality control.
  • Attention to Detail: High level of accuracy in quality control, feedback, and documentation.
  • Problem Solving: Ability to investigate errors, identify patterns, and propose improvements.
  • Collaboration: Works effectively with the STT Manager, Operations team, and wider STT Editor and transcription teams.
  • Initiative: Proactive in identifying areas for improvement and supporting special projects.
  • Reporting and Analysis: Comfortable compiling and interpreting performance metrics and training data.
