Job Description

Key Responsibilities:

  • Prepare commercial documents for shipments to international customers

  • Coordinate with freight forwarders and monitor shipments and customs clearance

  • Coordinate with insurers for insurance cover over goods, survey and submit insurance claims

  • Communicate status, delays to appropriate parties

  • Monitor GST deduction through inter-bank GIRO

  • Maintain Import and Export document files in accordance with regulations and Company policy

  • Update stocks and leasing asset movements in system and manage physical inventory and leasing asset whenever needed

  • Ensure all leasing assets are properly tagged with asset tag for proper accountability and tracking.

  • Review charges of forwarders, transport contractors, and warehouse operators periodically

  • Ensure ISO9001/13485 requirements are complied with e.g., storage, handling, temperature, pest control etc.

  • Ensure timely calibration of equipment used in Store e.g., weighing machine, forklift, thermograph

  • Maintain accurate and complete Stores and Shipping documents with proper audit trial

  • Perform administrative tasks

  • Comply with the Company's ISO9001/13485/45001 and DPTM standard operating procedures at all times.

  • Comply with the company's Safe work procedures at all times

  • Any other ad-hoc duties as assigned by the Reporting Manager.

Competence (Knowledge, Skills and Abilities):

  • Proficient in SAP System for Inventory Management

  • Knowledge on the ISO 9001/13485/45001 Quality Manual and relevant Standard Operating Procedures

  • Proficient in Microsoft Office (primarily Excel and Word)

  • Well versed in import and export documentation and procedures

  • Well versed in shipping insurance and procedures

  • Well versed in documentation required for Letter of Credit

  • Able to deal with both routine tasks and tasks with some level of complexity.

  • Able to solve problems in most cases and within guidelines.

  • Works independently within guidelines, defined procedures and direction

Education & Experience:

  • GCE O Level / Diploma in Business Studies or its equivalent

  • At least 3-5 years of warehouse admin experience in an Engineering Services company
